Scope of Work
Under the supervision of the Operation Coordinator, the Finance & HR Manager carries out administrative, accounting and financial management of iMMAP France in NES, in compliance with donor and iMMAP France procedures.
He/she supervises accounting operations and cash management and carries out budget follow up in conjunction with the program team.
He/she prepares monthly salary payrolls and ensures iMMAP France’s Human Resources policy is properly implemented in NES.
He/she supervises iMMAP France’s Housekeeper.
Description of Duties
Budget & Financial Monitoring
- Update iMMAP France financial allocation table for NES
- Update the Financial Monitoring Tool (FMT) forecast in coordination with the Operation Coordination and for NES -spent Budget lines.
- Ensure compliance to iMMAP France and donor financial procedures.
- Contribute, in close link with the Operation coordinator and Project manager to develop proposal budgets.
Cashflow/Accountancy
- Manage daily/monthly cash-flow and ensure that safe and cash boxes are well supplied.
- Formulate monthly cash request. After validation from Operation Coordinator and Project Manager, send the request to iMMAP France HQ and monitor its reception.
- Supervise safe and cashbox and ensure weekly cash counts and reconciliations.
- Contribute to the development and application of the cash management policy
- Prepare the monthly closing, review and integration of the accounting.
- Ensure invoices and document scanning, preparing monthly voucher and integrated it in the monthly accounting pack.
Administrative/HR Management
- Assist in welcoming and integrating new personnel, ensure they receive administrative briefing.
- Manage recruitment administration such as posting advertisements, logging applications, coordinating interview arrangements, and assisting with the new starter processes.
- Supervise the archiving, handling, and security of iMMAP France personnel files.
- Draft and present employment contracts for employees at his/her base
- Supervise the leave balance/management at the personal following iMMAP France procedures.
- Ensure that performance reviews are carried out according to iMMAP France procedures.
- Apply the formalities provided for sanctions and for termination or breach of contract.
- Supervise the collection of elements needed to establish wages and monitor their proper implementation.
- Calculate income taxes and prepare monthly report to the authorities.
- Prepare on a monthly basis the salary payroll and pay slip.
- Assist in applying iMMAP France salaries and social policies.
Finance/HR Team management:
- Conduct performance reviews for members of the HR and Finance team.
- Follow up on leave management of his/her team.
Security management:
- Follow up and comply with iMMAP France Security and Safety procedures.
