Diploma Degree with a background in Finance, accounting, or a related field).

REQUIRED SKILLS & ABILITIES

·         Good Excel and Word skills and experience in other Office applications

·         Ability to take direction but also to work independently in own initiative

·         Good Arabic & English (working level) skills

General Description of the Role (Brief):

The Field Finance Assistant is responsible for supporting the financial operations of the Field Office under the supervision of Field Finance Officer

The Field Finance Assistant would be responsible for supporting Field Finance Officer in the day-to-day financial operations including cash receipts & disbursements, petty cash management, payroll verification, ensuring authorization and payment of expenses are in line with AFH.

policies, maintaining timely and accurate accounting records and adequate documentation, handling rules and deadlines according to AFH standards, maintain fraud control procedures within the financial system, ensuring robust management of AFH’s resources and accountability towards donor and internal standards

general Duties/Responsibilities:

The Field Finance Assistant is responsible for supporting the financial operations the Field Office under the supervision of Field Finance Officer.

 

Financial Management, Record keeping and Reporting:

·         Performing detailed review of back-up documentation to ensure presence and accuracy of all required supporting documentation (as per AFH policy) and ensure the necessary compliances before processing payment.

·         Ensure the validity of the invoices (quality of invoices, validation)

·         Ensure all support documents are in English or translated into English.

·         Ensure the documents are high quality scanned and shared with the Country Finance Office on timely manner.

·         Ensure all correct procedures, including authorization and holding limits, with respect to floats are being adhered to in the Field Office

·         Manage the collection of Field office staff timesheets & payslips before submission to Country Finance Office

·         Ensure cash counts and cash reconciliations are being performed on monthly basis in the Field Office

·         Witness and verify all payments made by MTA in Field Office under the supervision of Field Finance Officer

·         Ensure relevant hardcopy and soft copy files are appropriately maintained and archived.

·         Discuss with Field Finance Officer any issues identified during the course of work and suggest remedies as required.

·         Be aware of, understand and comply with all of AFH's policies and procedures (Code of Conduct, Finance, Logistics, HR, Security management etc.).

·         Support AFH’s work in Syria by undertaking other tasks as directed by the Field Finance Officer.

 

Capacity Building

·         Carrying out the financial orientation to new joining staff

·         Conduct regular coaching sessions for all the team members to build up capacity in area of financial management, documentation, compliance with AFH policies & procedures.

·         Facilitate staff capacity building on finance procedures for non-finance staff.

·         Create an environment of experience sharing and promote best practices within the team.

 

Risk Management

·         Proactively identify risks in the financial management procedures and suggest any revision in the process required to the Field finance Officer.

·         Ensure internal controls are implemented throughout the country program with a specific focus on ensuring thorough fraud prevention processes and oversight.

·         Flag weaknesses and shortcomings in the internal control timely

·         Other additional tasks that may be required to ensure the success of the work team.
